An audit should confirm what you already know: that your operation is run to the standard you have documented. Organizations that struggle usually discover gaps during the audit itself, when it is too late to fix them calmly.
These steps will help you arrive prepared.
Know the requirements
List the regulations, standards and approval conditions that apply to your operation and map each one to the procedure, record or person that demonstrates compliance.
Run a mock audit
Have someone independent, internal or external, audit you using the same approach a regulator would. Treat findings as a gift: they are a chance to fix problems privately.
Get the documents in order
- Current, controlled versions of manuals and procedures
- Training and competence records for all relevant staff
- Maintenance, inspection and calibration records
- Evidence of hazard reporting, investigation and corrective actions
Prepare your people
Brief the staff who will be interviewed. They do not need scripts; they need to understand how their own work fits the documented system and be comfortable explaining it honestly.
Close the loop
After the audit, track every finding to closure and use the lessons to improve your system. A well-managed response often counts for as much as a clean result.
